Document Control Systems

Problem:

One of our clients presented to Beacon the need for non-technical personnel to maintain the information available on their public web-site. The company wished to allow communications department employees to add press releases and time critical alert information without IT intervention. Their requirements included remote administration of the pressroom and alert centers on their web server.

As an addendum to this project, they also wanted to upload and share documents via their web server and the Internet with select executives in various countries across the globe.

Solution:

   Management Document Center

The requirements for the document sharing software included integrated security, multiple format upload capability, availability of presenting documents to multiple users, and the ability to view and make documents available through an ordinary web browser.

Beacon created a Web Enabled application that provided the capability required. By employing Beacon's Enterprise Application Manager to secure the application we were able to rapidly setup the required integrated security for not only the Management Document Center application but all of the other applications available from the company's Internet/Intranet portal.

The company's web servers were running Internet Information Service 4.0 on Windows NT 4.0 operating system. The database chosen for the task was IBM's Universal DB2 also running on the NT platform.

Written in VBScript, Javascript and HTML, user interfaces were created to allow users to upload selected documents to the web server, register the document's location with the system's database along with the users that are able to view and/or modify the document. An additional feature was also included to allow each user to create convenient send-to lists for groups of people commonly issued permission to view uploaded documents.

   Virtual Pressroom

Microsoft Word's save as HTML function was used to easily create the source code required for presentation on the web-site. A dedicated upload facility secured by Beacon's Enterprise Application Manager was provided to deliver the document to the web server from any browser equipped terminal. By registering the document with the system's database the communication department has set the document for presentation on the company's public website. Provisions for document expiration and system administration were also included.

   Web "Alert" Information

The Web Alert Software functions in much the same fashion as the Virtual Pressroom. While incorporating the same upload and registration features it also presents an alert icon on the pages of the web-site when an alert notice is available to the web-site visitor.
